Rob, I dont have advice for you on when or how you can get to one, but I think it is very wise to not attend if the player isnt in top notch form. About 4 years ago - I sent my eldest to one in Florida - during the winter. He did OK - but certainly wasnt in top notch form. Big mistake - which I never did again. Good luck to you and your son.

Lots of invites are mailed. They have to do so in order to get a decent number of players who accept the invite, so that the event will be worthwhile.

Mine is declining not because of not being in baseball shape, but because I think he needs to rest his arm for a couple of months here.
